1. Introduction and Acceptance
This Privacy Policy (“Policy”) describes how Nurtured In Natural Environments Ranch, LLC, d/b/a 9 Ranch (“9 Ranch,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you visit 9ranch.net (the “Site”).
This Policy governs information collected through the public-facing Site — our intake/contact form, careers form, donation page, and general browsing activity. It does not govern clinical records, treatment notes, billing records, or other protected health information created once a family becomes a client of 9 Ranch’s therapeutic services; that information is instead governed by 9 Ranch’s Notice of Privacy Practices and applicable healthcare confidentiality law, provided separately (see Section 6).
By accessing or using the Site, you acknowledge that you have read this Policy. Where applicable law requires affirmative consent before certain data collection begins — including before non-essential cookies, analytics, or advertising technologies load — we obtain that consent through the cookie consent tool described in Section 5, not merely through continued browsing.
2. Who This Policy Applies To
This Policy applies to all visitors to the Site, including prospective clients and their parents/guardians, current or former clients’ families, job applicants, donors, and any other users.
A note to parents and guardians: Our services are intended for children ages 3–17, but the Site itself is intended to be used by parents, guardians, and other adults on a child’s behalf — not by children directly. If you are a parent or guardian submitting information about your child through our intake form, you are confirming that you have the legal authority to do so on your child’s behalf.
3. Information We Collect
3.1 Intake / “Get Started” Contact Form
When you submit our Contact Us / “Get Started” form, we collect:
- Child Client Information: the child’s first and last name, and date of birth
- Caregiver Information: the caregiver’s first and last name, email address, and phone number
- How you heard about us (Social Media, Search Engine, Referral, Website, or Other)
- Any message or additional information you choose to include
This information is used solely to respond to your inquiry and, if you proceed, to begin the intake process for services — it is not used for advertising or marketing profiling.
3.2 Careers (“Join Our Team”) Form
When you apply through our careers form, we collect: your first and last name, email address, phone number, your response to “Why do you want to join our team?”, and, if provided, a resume file (PDF).
3.3 Foundation Donations
Our Foundation donation page (“Donate Now”) is powered by Zeffy, a third-party donation processing platform, presented to you in an embedded form. When you make a donation, Zeffy collects and processes your payment and donor information directly, under Zeffy’s own privacy policy. 9 Ranch receives donor information (such as name, email, and donation amount) necessary to acknowledge your gift and issue tax documentation as a 501(c)(3) nonprofit, but does not receive or store your full payment card details.
3.4 Information Collected Automatically
When you visit the Site, certain information is collected automatically, including: IP address and approximate location, browser type and version, device type and operating system, screen resolution, referring/exit pages, pages viewed, links clicked, and date/time of visit. This is collected via cookies and similar technologies described in Section 4 and is used in aggregate to understand Site usage — it is not linked to the identity of any child client.
3.5 Third-Party and Embedded Content
YouTube. The Site embeds videos from our YouTube channel (including our brand story and testimonial videos). Embedded videos display as a thumbnail with a prompt to accept Marketing cookies; the video player and any associated YouTube data collection do not load until you click to accept.
Social media links. The Site links out to our Facebook, Instagram, LinkedIn, and YouTube profiles. These are outbound links only; visiting them is governed by that platform’s own privacy policy, and no data is exchanged with those platforms merely by browsing our Site.
When you interact with any embedded or linked third-party content, that party may independently collect information about you under its own privacy policy. We do not control, and are not responsible for, those third parties’ practices.
4. How We Use Information
We use the information described above to:
- Respond to intake inquiries and, where applicable, begin the client intake process
- Evaluate applications for employment or board service
- Process and acknowledge Foundation donations and issue tax receipts
- Operate, maintain, secure, and improve the Site
- Understand how visitors use the Site (aggregate analytics) to improve content and navigation
- Measure the effectiveness of our outreach and community awareness efforts
- Comply with legal, licensing, and regulatory obligations
- Detect, investigate, and prevent fraudulent or unauthorized activity
We do not use information submitted about a child client for advertising, marketing profiling, or any purpose unrelated to responding to your inquiry and, where applicable, providing services.
5. Cookies, Tracking Technologies, and Analytics
This section discloses the tracking technologies used on the Site, consistent with the California Invasion of Privacy Act (“CIPA,” Cal. Penal Code §§ 631, 632, 638.50–638.51) and comparable state and federal privacy laws.
5.1 Categories of Cookies
Essential — Necessary for the Site to function, including remembering your cookie consent choices. Cannot be disabled.
Statistics — Pseudonymized usage data (Google Analytics) to help us understand and improve the Site. Off by default; requires consent.
Marketing — Supports embedded video content and advertising measurement (YouTube, Google Ads). Off by default; requires consent.

Google Analytics acts as our service provider solely to help us understand aggregate Site usage. It is not authorized to use this data for its own independent purposes, and no 9 Ranch employee, agent, or contractor reviews individual visitor sessions in real time. You may opt out via the Google Analytics Opt-out Browser Add-on (tools.google.com/dlpage/gaoptout), our cookie consent tool (Section 5.3), or your browser settings.
Marketing — YouTube / Google Advertising Infrastructure
Embedded videos load, and any related Google advertising-measurement or attestation calls fire, only after you click to accept Marketing cookies.
5.3 Cookie Consent Management
9 Ranch uses WPConsent to give visitors notice of, and control over, non-essential cookies. You can accept or reject the Statistics and Marketing categories (Essential cookies cannot be disabled) and change your preferences at any time via the cookie settings tool on the Site.
5.4 Browser and Device Controls
Most browsers let you block or delete cookies through browser settings; disabling cookies may affect Site functionality. The Site does not respond to “Do Not Track” signals but will honor recognized opt-out preference signals (e.g., California’s Global Privacy Control) where required by law.
6. Relationship to Clinical and Treatment Records
If you or your child become a client of 9 Ranch, information created in the course of therapy — including clinical notes, treatment plans, assessments, and billing/insurance records — is not governed by this Policy. That information is instead protected under 9 Ranch’s Notice of Privacy Practices and applicable confidentiality laws governing mental health and counseling records (including, to the extent applicable, HIPAA and Oklahoma state law), and is provided to clients separately at the start of care. This website Policy covers only information submitted through the Site itself, as described in Section 3.
[Internal: confirm with counsel whether 9 Ranch is a HIPAA “covered entity” (this generally turns on whether it transmits health information electronically in connection with standard billing/insurance transactions) and whether a compliant Notice of Privacy Practices is already in place separately from this web policy.]
7. Disclosure Regarding Electronic Communications and Consent to Monitoring
To directly address CIPA and comparable electronic-surveillance statutes:
- This Policy provides advance notice that Site interactions — page views, clicks, form submissions, and related metadata — may be recorded and transmitted to 9 Ranch and its service providers for the purposes described herein, subject to the consent requirements in Section 5.
- Any third party processing Site data does so as our service provider, under terms restricting use of that data to providing services to 9 Ranch — not as an independent party intercepting communications for unrelated purposes.
- Statistics and Marketing category technologies are not activated until you provide affirmative consent through the tool described in Section 5.3.
- If you do not consent, reject non-essential cookies through the consent tool and/or use browser-level controls.
8. How We Share Information
We do not sell personal information. We may share information with:
- Service providers who perform services on our behalf (website hosting, analytics, email), under obligations to use it only for the purposes we specify
- D2 Branding, our website design and maintenance vendor, which may access website analytics and back-end systems solely to provide maintenance and support, and does not use that access for independent marketing purposes
- Zeffy, for processing and administering Foundation donations
- Legal and regulatory authorities, where required by subpoena, court order, licensing/accreditation obligations, or other legal process, or to protect the rights, safety, or property of 9 Ranch, our clients, or others
- A successor entity, in connection with a merger, acquisition, or change in organizational structure
We do not share information submitted about a child client with any party for advertising or marketing purposes.
9. Your Privacy Choices and Rights
Cookie preferences: Manage anytime via the consent tool on the Site or your browser settings (Section 5.4).
California residents (CCPA/CPRA): You may request disclosure of the categories/specific pieces of personal information we’ve collected, request deletion, request correction, and not be discriminated against for exercising these rights. Because information submitted through our intake form may relate to a child’s mental health services, it may constitute “sensitive personal information” under the CPRA; you have the right to request that we limit its use to what is necessary to respond to your inquiry and provide services. We do not sell personal information and do not share it for cross-context behavioral advertising. To exercise these rights, contact us using Section 11.
Other states: Depending on your location, you may have additional rights under state privacy laws (e.g., Colorado, Connecticut, Virginia, Oregon). Contact us per Section 11.
10. Children’s Privacy
Our therapeutic services are provided to children ages 3–17, but the Site itself — including its forms — is designed to be used by parents, guardians, and other adults on a child’s behalf, not by children directly. We do not knowingly collect personal information directly from a child under 13 through the child’s own independent use of the Site. Information about a child submitted via our intake form is provided by, and is the responsibility of, the submitting parent or guardian.
11. Data Security and Retention
We implement reasonable administrative, technical, and physical safeguards to protect information collected through the Site, though no method of internet transmission or storage is 100% secure.
We retain intake form and careers form submissions for as long as necessary to respond to the inquiry, process the application, or, where an inquiry becomes a client relationship, as governed by our clinical records retention policy described in Section 6 (which may require longer retention periods under Oklahoma law, particularly for minors).
